About the Role

An exciting opportunity has arisen for an experienced Residential Portfolio Manager to oversee a substantial residential portfolio of approximately 350 units within a wider 750-unit property investment portfolio.

Working client-side, you will oversee seven external managing agents, supported by in-house accounts, construction, and maintenance teams. Reporting directly to the Managing Director, this role blends hands-on operational management with strategic, portfolio-level decision-making.

This position is ideal for a commercially minded property professional who thrives on driving performance, controlling costs, improving compliance standards, and optimising portfolio returns.

Systems used: MRI Qube (property management) and Zahara (purchase orders and approvals)

Role Overview

The Residential Portfolio Manager is responsible for optimising portfolio performance through strong managing agent oversight, proactive maintenance planning, robust compliance management, and disciplined cost control.

Key focus areas include:

Residential portfolio performance and void reduction

Maintenance efficiency and spend optimisation

Compliance and health & safety oversight

Effective coordination of internal teams and external contractors

Oversight of student accommodation and a London portfolio currently managed in-house

Key Responsibilities

1. Managing Agents

Lead and oversee seven residential managing agents.

Chair quarterly performance review meetings and build strong working relationships.

Monitor vacancies, lettings activity, and void periods to minimise income loss.

Authorise rent reviews to ensure appropriate market positioning.

Oversee student block lettings.

Review inspection reports to identify tenant care issues, upgrade opportunities, and planned preventative maintenance requirements.

2. Maintenance & Repairs

Agent-Led Maintenance

Drive a proactive and preventative maintenance strategy across all units and blocks.

Conduct ROI analysis on larger maintenance and capital expenditure projects.

Oversee cost-control processes, including:

Reviewing and approving PO requests via Zahara

Achieving economies of scale or bringing works in-house where appropriate

Monitor LOLER compliance, internet service provision, and fault resolution.

Landlord-Direct Maintenance

Work with the Construction Manager to implement short-, medium-, and long-term priorities.

Coordinate weekend gardening schedules.

Oversee utility contract renewals and upgrades with the Utility Manager.

3. London Portfolio (In-House Management)

Lead outsourcing arrangements in line with Renters’ Rights requirements.

Directly coordinate repairs, maintenance, and compliance appointments with tenants.

Maintain high standards of tenant communication and issue resolution.

4. Accounts, Reporting & Systems

Maintain accurate records on MRI Qube, including inspection reports and compliance documentation.

Process and organise payment of residential invoices.

Analyse expenditure and identify opportunities for cost savings.

Prepare quarterly portfolio review packs and provide commercial insight to senior management.

5. Insurance & Claims

Manage insurance claims end-to-end, including:

Damage assessments

Coordinating quotes and remedial works

Submitting claim documentation

Liaising with insurers and loss adjusters

Overseeing completion of works and invoice processing

6. Compliance, Health & Safety & Licensing

Monitor compliance reports and certificate expiry dates via Qube.

Arrange landlord-direct appointments for GSCs, EPCs, and EICRs where required.

Procure and manage Fire Risk Assessments and related health & safety works.

Manage HMO, selective, and additional licence applications.

Oversee fire alarm systems and dry riser inspections, ensuring documentation is correctly filed and circulated.

7. Freehold & Leasehold Block Oversight

Oversee block management delivered by external agents.

Review service charge invoices, maintenance issues, licence applications, and documentation.

Maintain up-to-date records of block insurance policies and key contacts.

Organise and attend quarterly management company meetings.

Ideal Candidate Profile

Experience

Minimum 4 years’ experience in residential property management, ideally within AST and lettings environments.

Experience managing third-party agents and mixed residential portfolios.

Familiarity with MRI Qube and strong IT literacy preferred.

Skills & Attributes
