A specialist mechanical and electrical contractor who offer beck-up power, BMS & DfMA services across several industries have secured a long-term project with the Ministry of Defence (MoD) on some airfield assets.
We need a Document Controller who has previous MoD experience to base themselves out of a City of London office and take control of the documentation through the project lifecycle.
The role requires excellent attention to detail, strong organisational skills, and experience with common construction industry document management systems (DMS) such as Viewpoint For Projects (4Projects), Asite, Aconex, SharePoint, or Autodesk Construction Cloud.
Key Responsibilities
Document Management
Maintain and control all project documentation including drawings, specifications, RFIs, submittals, reports, and contracts.
Ensure all documents follow the project’s naming conventions and file structure (aligned with project-specific standards or ISO 19650).
Upload, review, quality-check, and file documents within the project’s DMS.
Track document status, revisions, and approvals to ensure the latest information is always available.
Compliance & Governance
Ensure documentation processes comply with project requirements, company standards, BIM protocols, and ISO 19650 information management standards.
Support audits by ensuring full traceability and document compliance.
Implement and uphold the project’s document control procedures.
MOD project Security requirements for the sharing of digital information
System Administration
Manage permissions, user access, and workflows within the DMS.
Train project team members and subcontractors on document management procedures and systems.
Troubleshoot system issues and escalate to IT/software support when required.
Report & Monitoring
Generate reports on document status, overdue actions, approvals, and workflow bottlenecks.
Monitor document progress against project deadlines.
Support handover documentation and O&M manuals preparation
