The Building Safety & FM Coordinator will support the Building Safety & FM Lead and Head of Compliance & ESG to oversee and develop building compliance and facilities management outputs across the residential portfolio. They will work with Building Managers to develop and maintain documents and service records, ensuring actions from statutory assessments and in-house audits are prioritised and managed. They will play a role in quality assurance of the company's golden thread and digital record of building maintenance and lifecycle information, providing training and advice that equips on-site teams to implement company policy aligned with safety legislation and practice.

Previous experience of using CAFM or safety/risk/compliance software in a facilities management role/setting.
Previous experience of records management.
A sound understanding of current building safety/fire safety legislation concerning high‑rise residential buildings.
Experience of undertaking building safety audits in multi‑occupied residential buildings.Desirable

The ability to manage contractors effectively ensuring required outputs and best value.
The ability to manage ad hoc client requests.
Strong negotiation skills.
Membership of IWFM, TPI, IOSH, IFSM, CIOB, RICS or other relevant professional body.
Has undertaken technical awareness training such as legionella/water hygiene, working at height, fire door inspection etc.
Recent experience of Building Safety Act compliance workstreams such as fire door inspections, resident engagement and management of golden thread data.
Awareness of compliance requirements for facilities management operations (hard and soft services).Job Responsibilities

Key Responsibilities – Site Level Compliance

Ensure all buildings in the portfolio comply with the laws that govern fire/building safety.
Complete frequent site safety audits, identifying and assessing risk and escalating in accordance with procedure.
Monitor progress of site risk assessment action plans against KPIs, assisting Building Managers where necessary.
Undertake site safety audits that contribute to building safety cases for higher‑risk buildings and ensure suitable mitigation is arranged.
Develop and maintain workstreams, documents and processes supporting a building's safety case report.
Monitor performance of safety management systems and procedures at site level.
Ensure fire risk assessment actions are logged and monitored via the company's risk compliance software.
Contribute to the company's risk and compliance system with a focus on assuring quality and consistency.
Verify works of contractors who have completed works on active and passive fire safety systems when required.
Gather evidence and provide updates to line management on risk item status for client reporting.Collaboration and Coordination

Assist with integration of safety measures/protocol for contractor activities.
Collaborate with other Responsible Persons/Accountable Persons such as commercial tenants/landlords where applicable.
Support Building Managers with resident engagement, providing advice on complaints and enquiries.
Assist with contractor inductions and building safety protocol including permits to work.
Assist with delivery of drills and desktop training exercises for on‑site teams.
Deliver training to Building Managers and on‑site staff where skills gaps are identified.
Assist mobilisation of blocks, buildings, wider estates and single‑family housing.
Attend demonstrations covering life safety systems for new sites.
Assist with collation of documentation required under Regulation 38 and Key Building Information.
Contribute to defect identification and management during warranty periods.
Oversee PPM servicing within the company's CAFM system.
Monitor and report on PPM irregularities and/or non‑compliance.General Responsibilities
