Administration Assistant

A leading Construction Design & Build company are looking for an experienced Administration Assistant to the Project Manager.

The Role You will provide vital administrative and logistical support to the Project Manager, ensuring the commercial and operational aspects of our projects run smoothly from start to finish.

Key Responsibilities:

Procurement & Orders

* Liaising with subcontractors to obtain and compare quotes.

* Placing and processing orders for suppliers, materials, and sub-contract labour.

* Tracking deliveries to ensure materials arrive on site as scheduled.

Commercial Monitoring

* Accurately recording and monitoring contract variations.

* Tracking payment schedules and assisting with invoice queries.

* Monitoring order status to ensure costs align with the project budget.

Documentation (O&Ms)

* Compiling comprehensive Operation & Maintenance (O&M) manuals.

* Collating all necessary warranties, certificates, and compliance documents for client handover.

General Administration & Project Support

* Organising full site set-ups, ensuring all site files and logistical requirements are in place.

* Updating project timelines and tracking progress using Microsoft Project.

* General project filing and administrative support to the Project Manager.

Requirements:

* Experience: Minimum of 3 years of experience in a similar administrative role within the construction or fit-out industry.

* Software: Proficiency in Microsoft Project or similar is required, alongside standard MS Office skills.

* Communication: Excellent verbal and written communication skills are required for dealing with subcontractors, suppliers, and internal teams.

* Organisation: Strong attention to detail with the ability to manage multiple tracking schedules simultaneously
