About the Role
We are seeking a detail-oriented Bid Coordinator to support our pre-construction team in preparing high-quality, compliant, and competitive bids and tender submissions. This role will involve coordinating internal teams, managing documentation, and ensuring all bid processes run smoothly from initial enquiry through to submission.
You will play a key role in maintaining bid standards, supporting estimators, and ensuring projects transition seamlessly to the delivery team once a bid is successful.
Key Responsibilities

Review and coordinate design drawings and specifications (CSA) for bid purposes
*
Coordinate the preparation and submission of PQQs, tenders, and other bid documentation
*
Develop submission timelines and action plans based on tender requirements
*
Liaise with internal teams (estimating, design, commercial, delivery) to gather information for bids
*
Ensure compliance with client specifications, internal governance, and bid deadlines
*
Maintain and update bid library, CVs, project case studies, and standard responses
*
Manage bid schedules, submission portals, and client communications
*
Proofread and format bid content for clarity, consistency, and branding
*
Support post-tender clarifications and presentations when required
*
Track and report on bid status, outcomes, and lessons learned
*
Assist in the development of marketing and capability materials as needed
*
Manage document control for all client documents during the tender process
*
Assist with efficient handover of projects to site teams following successful bids
*
Identify and report potential upcoming opportunities and monitor relevant portals (CIS, Protel, etc.)
*
Support estimators in issuing enquiries to the supply chain and follow up on quotations
Key Skills & Experience
Essential:
*
Previous experience in bid or proposal coordination, ideally within construction or built environment sectors
*
Strong organizational and project management skills
*
Excellent written and verbal communication skills
*
High attention to detail with the ability to work under pressure and meet deadlines
*
Proficiency in Microsoft Office (Word, Excel, PowerPoint)
*
Knowledge of construction terminology and tendering processes
*
Ability to build strong working relationships across multiple departments
*
Proactive, flexible, and collaborative approach
Desirable:
*
Experience with InDesign or other desktop publishing/design tools
*
Previous experience supporting pre-construction or estimating teams
