Document Controller
Job Description
Manage and co-ordinate document uploads/downloads on multiple projects using Aconex.
Review of downloads and regular reporting to project teams.
Main Accountabilities: Tasks to be performed in this role
* Formatting and uploading of documents, including drawings, sample submissions, technical submittals, RFI’s etc.
* Capture of relevant documents and transfer to O&M files
* Review of documents upon receipt and compile a summary report, noting the content and changes to each document to the project teams (this is a critical activity that needs to be done promptly upon receipt of documents).
* Overlay various revisions of same document to highlight changes.
* Produce weekly status reports for each project by exporting into Excel and colour coding as complete, in progress or overdue items.
* Produce reports for monthly Project Progress reporting including summary of instructions issued.
* Populate and maintain Drawing Registers (ideally implemented at Tender stage).
* Managing Health and Safety records – taking information from timesheets/Daily Start Briefings to populate manhours worked.
Required Skills and Attributes:
* Familiarity and competency with document management platforms and transfer of data to Excel/Word formats.
* Methodical and well organized approach to the work environment.
* Excellent knowledge in use of spreadsheets, databases and word processing
* Excellent interpersonal and communication skills and be able to interface with colleagues at all levels
* Ability to deal with short time frames and handle multi competing priorities at once
* Team player but also able to work on own initiative
