Project Support Officer
The Project Support Officer will be expected to provide all aspects of project support which will involve working closely with project teams and to help ensure that projects are adequately planned, resourced and supporting the team in delivering to high standards, on time and within set budget. The Project Support Officer will be expected to provide support to the Buried Networks Team in organising and following-up from regular Team meetings. Administrative duties will include supporting Project Managers with their meetings, taking minutes, updating risk registers and chairing meetings in the Project Managers absence. At all time the Project Support Officer reports to the Senior Project Manager for line management and development.
The Project Support Officer will work alongside Project Managers to ensure projects are successful in their development, execution and handover stages. The Project Support Officer will also be required, with the support of the Project Managers, to work or communicate with external parties including consultants, contractors, staff and organisations, members of the public or other stakeholders.
KEY RESPONSIBILITIES / DUTIES
* Organisation and administration: the first point of contact within the Buried Network Team for organisation and administrative tasks, oversee on and off boarding of new project team members. Organise and chase up actions from project and Team meetings.
* Financial Administration: processing of purchase requisitions and invoices in SAP
* Permitting and Licencing: Assisting with the obtaining of required permits and licences for the projects and being the first point of contact for any enquiries and correspondence from regulatory bodies in relation to these. permitting and licences applications.
* Document Management: updating and managing the document management systems, e.g. SharePoint / Kairnial / ThinkProject
* Financial Project Control: preparation of updated budget estimates based on data from the Financial Controller, planned tasks / work packages, forecasts, and risk expectations. Compiling spend reports in support of Grant Funded projects
* Risk Management: Administering Project risk reviews and chasing up actions from risk workshops,
* Project Steering and Decision-Making Processes: supporting the Project Managers in setting up work packages, preparing project reviews, and following up on recommendations.
* Project Practices and Governance: creating and maintaining the Project specific handbook based on the applicable Project Management methodology and other relevant documents and structures. Organisation, implementation, and follow-up of lessons learned workshops.
* Management Reporting: compiling and validating inputs required as part of the Project reporting cycle, as well as monitoring progress of open items and ensuring deadlines are met.
KNOWLEDGE AND SKILLS
Essential
* Excellent knowledge of Microsoft Office applications e.g. MS365, Word, Excel, Outlook, PowerPoint etc.
* Strong commercial acumen and/or contractual experience
* High degree of initiative, commitment, and reliability, and an organised and structured work style
* Adaptable, someone who can work successfully with uncertainty
* Self-starter with a high level of drive
* Able to take initiative and ownership of responsibilities and drive to completion
* Someone who pays close attention to details and can connect them to the overall project picture
* A promoter of diversity and inclusion in the workplace.
* Able to work under pressure and maintain high level of concentration
* Able to work individually as well as part of a team
* Ability to maintain confidentiality.
Desirable
* Knowledge of SAP ERP
* Working knowledge of Document Management System, ideally Kairnal or SharePoint
* Knowledge of Microsoft Project & PowerBi
* Strong communication and influencing skills, proficient at addressing team audiences and/or senior colleagues.
* Passionate about setting up something new, building new processes and setting new standards
* Excellent attention to detail
QUALIFICATIONS AND EXPERIENCE
ESSENTIAL
* Good experience of providing high quality project administrative support
DESIRABLE
* At least 3 years professional experience working in either project management, business administration or Local Authority permitting processes.
* Experience working in complex technical projects in the realisation and/or development phase would be beneficial; attained or working towards a project management qualification (e.g: APM, Prince2, or PMI)
* Diploma or relevant equivalent experience and/or training
