We are on the lookout for an enthusiastic Office Coordinator / Receptionist to join their dynamic team! This full-time role is essential for ensuring smooth daily operations while providing top-notch support across departments. Key Responsibilities:

Front Office Coordination:

Prepare the reception area and meeting rooms to create a welcoming atmosphere.
Greet and direct visitors with professionalism and a friendly smile.
Manage incoming calls, handle inquiries, and ensure seamless communication.
Maintain cleanliness and organisation of the reception and common areas.
Oversee mail and courier deliveries, ensuring everything runs smoothly.
Coordinate meeting setups, including food and snacks for various occasions.
Manage email inboxes and assist with meeting bookings. Facilities / Office Coordination:

Be the go-to person for building-related issues; liaise with landlords and contractors.
Coordinate office maintenance and ensure service needs are met.
Keep logs and checklists updated for smooth operations.
Maintain office plants and ensure common areas are tidy and stocked.
Assist with locker bookings for cyclists and deliver fruit baskets to all floors. Administrative Support:

Order and maintain office supplies and equipment.
Support HR and other departments with document preparation and event coordination.
Assist with onboarding tasks and coordinate IT setups for new employees.
Help with business visa processing and organise team outings. Travel and Logistics:

Arrange travel bookings for staff, including flights and accommodations.
Maintain travel records in line with company policies.Health & Safety:

Assist with fire marshal and first aid queries.
Oversee PPE stock and ensure compliance with safety protocols.
Conduct regular inspections and maintain first aid supplies. Key Skills & Qualifications:

Previous experience in an administrative, front office, or coordinator role.
Strong organisational and multitasking abilities to keep pace in a busy environment.
Excellent verbal and written communication skills.
Tech-savvy with proficiency in Microsoft Office Suite and coordination tools.
Discretion in managing confidential information.
A professional demeanour with a strong customer-focused attitude. Working Conditions:

This is an office-based role with standard weekday hours (8:30 AM to 5:30 PM, with an hour for lunch).
Opportunity to collaborate across departments, gaining exposure to HR, IT, and operations.
Attendance in first aid and fire marshal training will be required.
