Admin Assistant
Scope of Role
You will report to the Head of Commercial offering administrative support to the surveying and buying team. Handle administrative tasks related to document management, invoice and payment processing, procurement and supply chain coordination and reporting and data entry.
Key Responsibilities & Duties
1. Administrative Support
•Assist Commercial Managers, Quantity Surveyors, and Buyers with day-to-day admin tasks.
•Maintain and update commercial records, including tender documents, contract files,
2. Document Management
•Prepare and process material, plant and subcontractor orders and variations.
•Ensure that all documentation is filed correctly, Maintaining electronic and paper filing systems.
•Track and log signed contracts and purchase orders
3. Invoice and Payment Processing
•Assist in resolving invoice queries and discrepancies.
4. Procurement and Supply Chain Coordination
•Support the preparation of tender documentation for subcontractors and suppliers.
•Maintain supplier and subcontractor databases and ensure compliance with company policies.
5. Cost Control and Budget Tracking
•Assist in the preparation and updating of cost reports and budgets
Desired Experience
You will have experience of working in a similar role for a national or local house builder.
•Strong organisational and time-management skills
•Attention to detail and accuracy
•Proficient in Microsoft Office (Excel, Word, Outlook)
•Experience with COINS
•Strong communication and interpersonal skills
