Project Co-ordinator
Our client are a leading D&B Fit Out contractor and we are now seeking an agile and detail-driven Project Coordinator to support the full lifecycle of complex design and build projects across a dynamic business unit. Acting as the operational linchpin, you’ll collaborate with multiple disciplines to ensure every stage—from pre-construction to post-completion—is delivered smoothly and efficiently.
This role offers incredible variety, working across sales, design, construction, and operations, with touchpoints in client engagement, procurement, compliance, and internal coordination. You’ll be instrumental in ensuring functional alignment and timely execution across all fronts.
Key Responsibilities:
General Coordination
* Minute weekly team meetings and drive accountability on deliverables
* Manage team diaries, meeting logistics, and event coordination
* Support expense submissions for senior leadership
* Procure and schedule deliveries for project and site needs
* Maintain and update a centralised Project Tracker to support commercial transparency
* Ensure alignment with quality management, H&S standards, and environmental compliance
Design Stage Support
* QC and manage all submission documents and timelines
* Chair internal review sessions and facilitate client feedback channels
* Coordinate formatting and input via graphics team, ensuring submission standards are met
* Organise submission workshops and drive deadline compliance
Construction/Onsite Engagement
* Set up BIM 360 portal and troubleshoot user issues
* Prepare weekly project reports through validated stakeholder input
* Liaise with Site Managers for courier and accessory needs
* Manage procurement documentation and final project close-out processes
Post-Completion Administration
* Prepare Handover documentation, ensuring all certificates and approvals are obtained
* Liaise with client teams and O&M consultants to meet deadlines
* Coordinate and minute lessons learned sessions
Pre-Construction Activities
* Manage PQQs for subcontractors and suppliers
* Support LTA and Contractor Proposal pack preparation and QC
* Organise key milestone meetings, site visits, and kick-off sessions
Sales Support
* Prepare RFI and PQQ documentation for new bids
Skills & Experience Required
* Highly organised and proactive, with strong coordination skills
* Excellent communicator with good judgment and decision-making abilities
* Comfortable working independently and collaboratively
* Experience supporting sales teams or business development functions
* Strong grasp of the design & build lifecycle
* Skilled in Outlook, Excel, Word
* Bachelor's degree in a relevant discipline preferred
