Document Controller
Administrative Duties
• Organise, update and control SHEQ related documentation including risk assessments, method statements, audits, policies, procedures and certificates
• Ensure all SHEQ records are filed and stored in accordance with company procedures and GDPR requirements.
• Maintaining accurate records of document revisions and ensuring only the latest versions are in use
• Support to SHEQ Team: Assisting SHEQ Managers and Advisors by providing access to required documentation during audits, inspections, or incident investigations
• Assist in preparing reports, presentations, and data summaries for internal and external stakeholders.
• Assistant with the maintenance of the SHEQ SharePoint document site.
• Managing records of employee training, inductions, and qualifications related to SHEQ.
• Support the distribution of toolbox talks, safety alerts, and policy updates.
• Coordinate meetings, prepare agenda, take minutes, and follow up on action items.
• Assist with environmental monitoring (e.g. waste tracking, energy usage).
Compliance & Monitoring
• Ensuring all documentation complies with relevant legal, regulatory, and company standards (e.g., ISO 9001, ISO 14001, ISO 45001).
• Support the SHEQ Manager in preparing for external audits for ISO standards (45001, 14001, 9001).
• Help coordinate internal and external audits and inspections.
Qualifications & Experience
• 2+ years in document or records management, ideally in construction or engineering
• Strong IT skills (Excel, work, PowerPoint; experience with document management systems)
• Knowledge of SHEQ Standards: Understanding of ISO 9001, ISO 14001, ISO 45001
• Excellent organisational and communication skills
• Software Proficiency: Knowledge of SharePoint is desirable.
• Microsoft Office Specialist (especially Excel) SharePoint, Procore, 1Breadcrumb, or other Electronic Document Management platforms
• Experience / awareness of auditing (desirable)
