About the Role

Key Responsibilities

Carry out a range of daily administrative tasks to support the project management team.

Manage the entire document control process for the project, ensuring all documentation is well-organised, recorded, and handled according to project and company protocols.

Develop and maintain robust document control procedures, making sure they are up-to-date and reflect current best practices.

Work closely with the project team, offering guidance and support on all document control matters, and ensuring all project documents are accurate and current.

Manage the project's document control system, including the software, to ensure it operates efficiently and effectively.

Provide regular updates and reports on document control status to project management and other key stakeholders.

Oversee the receipt, distribution, and tracking of all project documents, including technical submissions, method statements, risk assessments, drawings, QA records, and certification documents.

Provide training and ongoing support for project teams, designers, subcontractors, and clients regarding document management.

Curate, verify, distribute, and retrieve all project documentation.

Induct and onboard all subcontractors.

Create status reports, workflows, distribution matrices, and control logs.

Contribute to long-term scalability and compliance by creating templates, procedures, and guidelines.

Conduct regular internal checks and audits to ensure data consistency, proper retention, and version traceability.

The Ideal Candidate

You should have at least two years of experience in a document control position.

Previous experience in the construction industry is preferable.

Knowledge of software such as Procore or Autodesk Construction Cloud (ACC) is a definite advantage.

Knowledge of ISO 19650 workflows is also beneficial.

You must be a highly organised individual with the ability to manage multiple tasks simultaneously.

A dependable, reliable, and enthusiastic professional with a can-do attitude.

Able to work effectively as part of a team and also independently.

Excellent communication skills are essential for collaborating with project teams.

You must have a high standard of written English.

Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) is a requirement.

You must be fluent in English.
