Jark Cambridge are proud to partner with this multi-discipline organisation to support them on a Maintenance Compliance Coordinator opening. We are looking for a reliable, skilled, and proactive Compliance Coordinator to join our team.

We are seeking a highly organised and proactive Maintenance and Compliance Coordinator to support the smooth running of our maintenance operations. The ideal candidate will be responsible for coordinating reactive and planned maintenance activities, ensuring compliance with all relevant regulations (including ISO standards), and maintaining accurate records and schedules.

You will play a key role in pricing, procurement, team coordination, and data management, ensuring our service delivery is efficient, safe, and compliant.

Key Responsibilities

Maintenance Coordination
• Schedule and allocate reactive and planned maintenance jobs to internal teams and external contractors
• Monitor progress and completion of jobs to ensure timely resolution
• Maintain the maintenance calendar and ensure timely servicing, inspections, and remedial works

Compliance & Documentation
• Ensure all maintenance activities meet health & safety and statutory compliance requirements
• Manage compliance records (e.g., Gas Safe, Electrical Certification, Fire Risk Assessments)
• Support ISO audits and maintain documentation in line with ISO standards (e.g., ISO 9001, 14001)

Procurement & Pricing
• Source and procure materials, equipment, and subcontractor services
• Liaise with suppliers for quotes and lead times
• Support pricing of works and monitor budget adherence

Administration & Communication
• Manage shared inboxes and respond to internal and external queries
• Maintain accurate records using spreadsheets, job management software, and CRM systems
• Produce reports on job status, compliance, and KPIs for management review
• Team & Contractor Coordination
• Organise internal staff schedules and coordinate subcontractor activity
• Assist with onboarding and compliance checks for new contractors
• Maintain a register of qualifications, training, and certifications

Skills and Experience Required:
• Proven experience in maintenance coordination, facilities management, or construction admin
• Understanding of compliance requirements in maintenance environments
• Familiarity with ISO standards and audit support (ISO 9001, 14001, 45001)
• Excellent organisational and time-management skills
• Competent in Microsoft Office (especially Excel) and job management systems
• Confident communicator with good written and verbal skills
• Ability to multitask, prioritise, and work independently
