Document Controller
I am working on behalf of a dynamic and internationally recognised mechanical and electrical contractor to help find their next Document Controller. With over 40 years of expertise operating from their London office in King’s Cross this role will be split between office and London based projects. As a business they specialise in high-end projects across the pharmaceutical, laboratory, healthcare, new build and fit-out sectors and have built a reputation for excellence and innovation.
The business pride themselves on balance offering an early finish of 2pm on a Friday and some scope to hybrid working. With a fully booked order book set to push that figure to £100m in the coming year they are looking to build on this momentum and the next step is to expand their Document Controller team by bringing in a strong DC to spearhead their growth strategy.
Roles and Responsibilities:
* Oversee all aspects of the document control process, including the management of technical files, drawings, and commercial correspondence.
* Enter and maintain document data in company registers, ensuring accuracy, completeness, and up-to-date records.
* Prepare, compile, and finalize Operations and Maintenance Manuals as well as other project handover documentation.
* Distribute the latest approved versions of documents and drawings to relevant team members, subcontractors, and suppliers.
* Safeguard all documentation and drawings within the document control system, ensuring proper storage, protection, and easy retrieval.
* Keep organized records and control logs in accordance with project and company requirements.
* Take responsibility for the daily administrative operations of a busy contracting office, ensuring adherence to internal policies and procedures.
* Manage incoming and outgoing communications, including phone calls, emails, letters, and courier deliveries.
* Handle filing, archiving, and retrieval of documents while ensuring compliance with data protection standards.
* Coordinate meeting room bookings, appointments, and team meetings as needed.
* Oversee the management of office space, furniture, and equipment to maintain a functional working environment.
* Monitor and control inventory levels for office supplies, PPE, and consumables.
* Support compliance with health and safety standards, including fire marshal duties and workstation assessments.
* Plan and facilitate regular team meetings to track workloads, roles, and project needs.
* Collect and compile relevant work information for job documentation and reporting purposes.
