Document Controller

Their core expertise lies in the refurbishment and maintenance of social housing, as well as the development of new-build projects within the public sector.
With an annual turnover exceeding £20 million, the company manages a diverse portfolio of projects ranging in value from £100,000 to over £5 million.
Their agile and collaborative approach allows them to consistently deliver value-driven solutions tailored to the specific needs of housing associations, local authorities, and other public sector clients.
The Role
Our client is currently seeking an experienced Document Controller to join their growing team on a site-based role in North London, with hybrid working options available depending on experience.
The successful candidate will be responsible for managing and controlling all project documentation, ensuring documents are compliant with company procedures and statutory requirements.
You will act as the central point of coordination for the receipt, review, storage, and distribution of project documents, supporting internal teams and external stakeholders such as sub-contractors, consultants, and clients.
Roles and responsibilities include but are not limited to:
* Create, organise, store, and retrieve both electronic and hard copy project documents to maintain accuracy, integrity, and accessibility
* Ensure all company documentation follows consistent naming conventions, numbering systems, and version control
* Maintain document registers and ensure files are properly classified, indexed, and securely stored
* Log project documentation accurately, assigning document numbers and ensuring all documents are easily identifiable
* Manage the distribution and circulation of drawings, reports, correspondence, and project data to relevant stakeholders
* Ensure that the correct version of all documents is available to the right personnel at the right time
* Review and verify documentation for accuracy, completeness, and adherence to company standards and industry regulations
* Ensure compliance with legal, contractual, and regulatory requirements, including GDPR and Retrofit/SHDF documentation standards
* Liaise with project teams to support timely submission and approval of controlled documents
* Track document revisions and maintain an audit trail of changes, approvals, and distribution
* Safeguard sensitive and confidential information through secure handling and storage
* Support internal and external audits by providing accurate and timely document records
* Provide training and guidance to project team members on document control systems and standard operating procedures
* Assist in the implementation and continuous improvement of document management systems and processes
Knowledge & Experience:
Knowledge
* Understanding of document control best practices, including version control, indexing, metadata management, and retention policies
* Familiarity with industry-specific regulations, particularly relating to Retrofit and Social Housing Decarbonisation Fund (SHDF) processes
* Awareness of quality management and building regulation compliance standards
Experience
* Proven experience as a Document Controller or in a records management role within the construction, engineering, or social housing sector
* Hands-on experience using and managing electronic document management systems (EDMS) or similar quality control databases
* Demonstrated ability to maintain accurate, organised records, following consistent numbering, naming conventions, and filing procedures
* Experience implementing document control systems and ensuring adherence to ISO standards and QA procedures
* Knowledge of technical terminology and documentation used within the Retrofit/SHDF or housing refurbishment industries
