Role Overview
We are seeking an experienced and detail-oriented Bookkeeper with strong expertise in Zoho Books to support the financial operations of a UK construction subcontractor. This is a hands-on role suited to a finance professional who is both a bookkeeping all-rounder and technically confident with the Zoho ecosystem.
You will manage day-to-day financial operations, ensure accurate and compliant records, and play a lead role in optimising financial systems and reporting. The role includes responsibility for VAT, CIS, project cost tracking, subcontractor payments, and the development of workflows, dashboards, and reporting tools within Zoho.
Key Responsibilities
Bookkeeping & Financial Management
Maintain accurate books across all ledgers (sales, purchases, bank, journals) in Zoho Books
Use Zoho Creator to calculate Works Done (fed from CRM project stages)
Perform regular bank reconciliations and manage month-end close
Process supplier invoices, match to POs and delivery notes, and run payment batches
Manage accounts receivable, credit control, and overdue payments
Prepare and submit VAT and CIS returns in line with Making Tax Digital
Support payroll input and reconciliation
Assist with year-end preparation and liaise with external accountants
Construction-Specific Financial Tasks
Manage CIS deductions and submissions
Track job and project-level costs for margin analysis
Record retentions and variations accurately
Work with project teams to capture site costs and purchase orders in real time
Zoho Platform Administration & Customisation
Optimise Zoho Books through workflow automation, templates, and integrations
Customise Zoho Creator apps and forms (e.g. timesheets, purchase requests, job tracking)
Build and maintain dashboards and reports in Zoho Analytics (cash flow, aged debtors, WIP, project profitability)
Train staff and maintain system documentation
Additional Responsibilities
Manage accounts payable and receivable, including invoicing and payment tracking
Process expenses and reconcile bank accounts
Maintain data accuracy and financial integrity
Support month-end and year-end close processes
Prepare financial reports and summaries as required
Assist with budget tracking and financial forecasting
Respond to financial queries and support audits
Maintain compliance with accounting regulations and internal policies
Create and issue quotes and estimates to support sales activity
Support maintenance of required ISO certifications
Ensure CRM data hygiene, including contact and opportunity records
Requirements
Essential Skills & Experience
Proven bookkeeping experience within a construction or subcontractor environment
Expert-level proficiency in Zoho Books
Strong experience with Zoho Creator (custom apps, workflows, scripting)
Advanced use of Zoho Analytics (dashboards, reports, data sources)
In-depth knowledge of CIS, VAT, and construction financial processes
Strong understanding of double-entry bookkeeping and financial compliance
Proficient in Excel or Google Sheets
Highly organised, detail-oriented, and deadline-driven
Ability to work independently with minimal supervision
Strong written and verbal communication skills
Comfortable using remote collaboration tools
Desirable
Experience with job costing, WIP reporting, and project-based accounting
Familiarity with other Zoho applications (e.g. Zoho CRM, Zoho Projects)
AAT qualification or equivalent
Experience supporting senior management with financial insight and analysis
