I am working with a well-established UK building services and MEP contractor with over 30 years’ experience in the construction industry. The company provides a full range of design, installation and maintenance services for mechanical and electrical building systems across a variety of commercial sectors such as offices, residential developments, transport infrastructure and education projects.

They are looking for a Bid Coordinator to support the Bid/Pre-Construction team in the coordination, preparation and submission of compliant, high quality tender responses for M&E and building services projects. The Bid Coordinator will ensure all bid deliverables are produced on time, align with client requirements, and reflect the business’s capability, value proposition and branding.

Key Responsibilities

* Manage multiple bids and tender submissions concurrently, ensuring all deadlines and client requirements are met.

* Develop and maintain bid schedules and activity trackers for internal teams.

* Coordinate input from internal stakeholders including estimating, technical, commercial, engineering, project management and finance teams.

* Attend and record minutes for bid kick-off and review meetings.

* Content Creation & Quality Control

* Ensure submission content is clear, compelling and aligned with the client’s requirements and scoring criteria.

* Maintain brand consistency and quality standards across all bid documents

* Conduct compliance checks and quality reviews pre-submission.

* Bid Logistics & Submission

* Manage bid portals and e-submission systems, ensuring timely upload of all documentation.

* Coordinate and submit hard copy bids were required.

* Maintain records of submissions, clarifications and post-tender correspondence.

* Continuous Improvement & Knowledge Management

* Maintain and update the bid library, standard templates, boilerplates and CV/portfolio resources.

* Capture lessons learned and feedback from tender results to improve future bid quality.

* Support development of bid best practice processes and governance.

Experience & Skills Required

* Proven experience in bid/tender coordination or similar support role, ideally within construction, mechanical & electrical, or building services environments.

* Excellent written and verbal communication skills with strong attention to detail.

* Strong organisational and multi-tasking abilities, with the capacity to manage deadlines and priorities effectively.

* Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and comfortable using bid portals.

* Ability to engage and communicate with technical and commercial stakeholders
